Customers
Admin Panel → Customers is a lasting record of the people who have written to you. When the same person writes from the widget, from WhatsApp and by email, they merge into one row here; you tag them, leave a note, and see their past conversations in one place. The messages themselves live in Conversations.
The list fills itself
You do not add people here by hand. A record opens the moment a visitor leaves an email address in a chat, and from then on every conversation of theirs collects under the same person. Someone who never left an address does not appear in the list — there is no way to recognise them, so the next time they write they are a new stranger.
The key is the email address. Case does not matter: [email protected] and [email protected] are the same person. Merging by phone number or username is deliberately not done. Two people merged by mistake means showing one person's messages to another, and there is no undoing that.
If the same person wrote from the widget, from WhatsApp and by email, and left the same address in all three, you see one row — with all three listed under Channels.
Reading the list
Each row is a person. The columns:
| Column | What it tells you |
|---|---|
| Person | Their name (if we know it) and email address. With no name, only the address is shown — nothing is invented. |
| Channels | How this person has written to you: Chat bubble, Email, WhatsApp, Instagram, Telegram, Panel chat. |
| Conversations | How many conversations they have had. Someone showing “3” is not writing to you for the first time, and you can pitch your reply accordingly. |
| First seen / Last seen | When they first wrote and when they last did. The gap between the two tells you how long they have been with you. |
| Tags | The tags (segments) you gave them. Explained below. |
The box at the top searches the email address and the name. The dropdown beside it filters the list by tag: pick “wholesale” and only people carrying that tag remain. Search and tag filter work together.
Opening a person
Open at the end of a row opens their card. There are three things you do on it:
- Give them tags. Type the tags separated by commas and save.
- Leave a note. A short internal note — only your team sees it; it never appears anywhere the customer can see.
- Walk through their conversations. Below the card are all of this person's conversations, how many messages each holds, and an Open conversation button that takes you straight to that thread in Conversations.
Tags (segments)
A tag is your own word for a person: wholesale, vip, awaiting refund. Two places edit them, and both write the same field:
- Here, in the Tags box on the person's card — comma separated.
- In Conversations, in the Segments section of the person panel on the right — added one at a time and removed with an ×. That one exists so you can mark someone the moment it occurs to you, while reading their messages.
A tag belongs to the person, not to a conversation. To mark one specific conversation, use the Notes and tags tab in Conversations; that is a separate field and does not touch the person's record.
Deleting a record
Delete record at the bottom of the card removes the person from the list. The confirmation names the address, because the action cannot be undone.
Conversations are not deleted. This only removes the person record: the tags, the note and the summary kept about them. The messages stay where they are in Conversations and have to be deleted separately. If this is a GDPR deletion request, you need both steps.
The last known country, city, time zone, browser and language kept on the person record go with this deletion too. What is collected and why: Privacy Policy › Visitor metadata.
How this differs from the person panel
The two screens show the same person but answer different questions. When you are deciding which one to open:
| Question | Screen |
|---|---|
| “Who is the person in this thread?” | Conversations → the person panel on the right. You look without leaving the thread. |
| “Who are our wholesale customers?” | Customers → the tag filter. |
| “What has this person asked us before?” | Customers → open the person, the conversation list below. |
| “Where is this visitor writing from right now?” | Only in the person panel: country, city, time zone, browser, IP and the pages they visited. |
| “Where do I record this customer's plan?” | Only in the person panel: the free key/value pairs under Visitor data. |
